Het is al een tijdje geleden dat ik een nieuwe tutorial heb toegevoegd aan de podcast. De reden hiervoor is dat ik ondertussen gestart ben met een eigen zaak, en het dus even heel druk had met een aantal andere zaken. Voor mijn eigen zaak was ik echter op zoek naar een toepassing waarmee ik mijn tijdsregistratie kon bijhouden, en op basis daarvan facturen kan laten genereren voor mijn klanten. Ik heb er ondertussen een aantal ge valueerd, en heb uiteindelijk de keuze gemaakt voor Billings. Billings is een Desktop Mac applicatie die u, aan de hand van een eenvoudige GUI, toelaat om bij te houden hoeveel tijd je spendeert aan bepaalde projecten. De toepassing werd ontwikkeld door de mensen van Marketcicle, die ook Daylite hebben ontwikkeld. Met Billings kan je niet alleen uw gepresteerde uren registreren aan de hand van timers, maar je kan op basis van uw tijdsregistratie ook facturen laten genereren en doorsturen naar uw klanten. Billings beschikt ook over de mogelijkheid om uw betalingen op te volgen, en zo vanuit de toepassing ook een stand van zaken te hebben m.b.t. uw inkomende facturen. De toepassing is voorzien van een groot aantal professioneel ogende factuur sjablonen en biedt u ook een grote verzameling van rapporten. Billings richt zich niet alleen tot de eenmanszaak, maar kan ook perfect gebruikt worden binnen een kleine onderneming. Ondertussen werd Billings geupgrade naar versie 3, en deze tutorial werd dan ook op basis van de laatste versie opgemaakt. Het was onmogelijk om alles in 1 aflevering te proppen, dus heb ik beslist om de komende aflevering ook verder te gaan met de Billings 3 Tutorial. Alles begint natuurlijk bij het downloaden van Billings 3, en dat kan gebeuren via de website van MarketCircle. De applicatie is beschikbaar als proef versie waarmee je gedurende 21 dagen ongelimiteerd alle functionaliteiten kan uittesten. Na de periode van 21 dagen kan je, mits het aanschaffen van een licentie, gewoon blijven verder werken zonder dat je iets van data verliest. We bekijken in het eerste hoofdstuk hoe we de toepassing kunnen downloaden, installeren en configureren. We overlopen even de Setup Assistant waarmee u een basis configuratie kan aanmaken. Daarna overlopen we even de verschillende instellingen en halen zo aan hoe we die basis configuratie kunnen aanpassen. We bekijken ook even de mogelijkheden m.b.t. labels en extra velden en gaan even na hoe we die zaken kunnen gebruiken om alles wat beter te organiseren. Daarna nemen we even het concept van Klanten en Projecten onder de loep, en zien we een aantal mogelijkheden om uw klanten in Billings 3 te organiseren. Eens we wat vertrouwd zijn met de User Interface, is het tijd voor het echte werk. We bekijken even het concept van Slips en de verschillen tussen Estimate Slips en Working Slips. De Working Slips kan je best vergelijken met een Werkopdracht of een bepaalde taak die uitgevoerd moet worden. Een project kan bestaan uit meerdere Working Slips, en voor eider van deze working slips kan je meerdere prestaties hebben. Zo kan je bijvoorbeeld een Working Slip hebben voor het bewerken van een video in FCP, maar kan je daar op verschillende dagen een aantal uren op presteren. In de tutorial bekijken we ook even hoe we de time functionaliteiten kunnen gebruiken. Hiermee kunnen we onze tijd laten registreren voor een bepaalde Working Slip, en dat terwijl we aan het werken zijn. Dat brengt ons natuurlijk bij het Time Window waar we een overzicht hebben van onze actieve slips en van waaruit we perfect een tijdsregistratie op een bepaalde slip kunnen starten. Het laatste deel van deze tutorial geeft u een aantal tips om sneller en effeci nter om te gaan met Working en Estimate Slips. In het eerste hoofdstuk hadden we bij de instellingen reeds kort gesproken over Blueprints, en in dit hoofdstuk gaan we daar dieper op in. Blueprints kan je eigenlijk best vergelijken met een template voor uw Working of Estimate Slips. Op die Blueprints kan je reeds alle nodige zaken gaan specif eren zodat je ze niet steeds opnieuw moet invoeren bij het toevoegen van een Slip. Je bent dus in staat om een reeks van voorgedefini erde slips aan te maken, en deze Blueprints dan te gebruiken wanneer je een nieuwe slip invoert. Gebeurt het vaker dat je Video Editing moet uitvoeren voor een bepaald project ? Maak dan snel even een Blueprint aan waar je het tarief, de BTW voet en nog andere zaken op instelt. Steeds wanneer je nu een Video Editing slip moet aanmaken kan je nu de Blueprint gebruiken, waardoor de meeste zaken reeds voor u ingevuld worden. Billings 3 bevat natuurlijk meer functionaliteiten dan wat we in deze tutorial hebben gezien. Met Billings 3 kan je ook facturen genereren op basis van uw Working Slips, facturen afdrukken en doorsturen naar uw klanten, en zelfs de betaling van die facturen opvolgen. Ik heb echter besloten om deze tutorial op te delen in 2 afleveringen van de podcast. Op die manier wordt de tutorial zelf wat korter gehouden en worden de bestanden zelf ook wat kleiner. In de volgende aflevering gaan we dus zeker verder met de Billings 3 Tutorial en gaan we vooral de Facturatie, Betalingsopvolging en de rapporten even nader bekijken.
